TenancyIQ is committed to protecting the privacy of our users. This Privacy Statement explains how we collect, use, store, and protect your personal information when you use our platform.

Information We Collect

Account Information: When you sign up, we collect your name and email address through our authentication provider.

Property Data: Information you enter about your rental properties, tenancies, rent payments, inspections, maintenance requests, and compliance records.

Documents: Any files you upload such as tenancy agreements, inspection reports, and legal notices.

Usage Data: Basic usage information to help us improve the platform, such as pages visited and features used.

How We Protect Your Data

We take data security seriously and employ industry-standard protections:

  • AES-256 encryption at rest for all stored data, the same standard used by banks and financial institutions.
  • TLS encryption in transit ensuring all data transmitted between your browser and our servers is securely encrypted.
  • Secure authentication via Clerk, an industry-standard authentication provider trusted by thousands of applications.
  • Session management with encrypted, time-limited session tokens.

How We Use Your Information

We use your information solely for the purpose of providing and improving TenancyIQ:

  • To create tenancy records, track compliance, and generate legal notices.
  • To power the TenancyIQ Assistant with context about your properties (your data is not used to train AI models).
  • To send you important account and compliance notifications.
  • To improve our platform based on aggregate usage patterns.

We do not sell, rent, or share your personal data with third parties for marketing purposes.

Your Rights

Under the New Zealand Privacy Act 2020, you have the right to:

  • Access the personal information we hold about you.
  • Request correction of any inaccurate information.
  • Request deletion of your account and associated data.
  • Know how your information is being used and who it is shared with.

Data Retention

We retain your data for as long as your account is active. If you choose to delete your account, we will remove your personal data within 30 days, except where we are required by law to retain certain records (e.g., for tax or compliance purposes).

Third-Party Services

TenancyIQ uses the following third-party services:

  • Clerk for authentication, including social login via Google, Facebook, and Apple. Clerk processes your email and name for sign-in purposes only.
  • Stripe for payment processing. We do not store your credit card details — all payment information is handled securely by Stripe.
  • Addy (addysolutions.com) for NZ address validation and autocomplete.
  • Anthropic Claude for AI-powered tenancy law assistance (your queries are processed but not stored by the AI provider).

Changes to This Statement

We may update this Privacy Statement from time to time. We will notify you of any significant changes via email or through the platform. Your continued use of TenancyIQ after changes constitutes acceptance of the updated statement.
